Purpose
This policy explains how Woking Disability Football for All (WDFFA) manages membership fees and concessionary arrangements to ensure fees do not pose a significant obstacle to community participation.

Eligibility for Membership
Who can join
Membership is open to anyone who supports the Club’s objects and meets any reasonable eligibility criteria set out in the Club’s Rules. Membership is personal and non‑transferable.
Equal access
The Club will not discriminate on the basis of residence, age, disability, gender, race, religion, sexual orientation, or any protected characteristic.

Membership Fees
Setting fees
The Club Committee sets annual membership fees at levels intended to be affordable and not a significant obstacle to participation. Fee levels are reviewed at least annually.
What fees cover
Fees contribute to coaching, equipment, insurance, facility hire, safeguarding, and other costs necessary to deliver the Club’s activities.
Concessions and Financial Support
Concession types

Reduced fee: a percentage discount on the standard membership fee.

Deferred payment: ability to pay in instalments.

Bursary: full or partial fee waiver for those in financial hardship.
Who may apply?
Concessions are available to members or prospective members who can demonstrate financial need, receipt of means‑tested benefits, low household income, or exceptional circumstances.

How decisions are made
Decisions on concessions are made confidentially by the Treasurer or a small panel appointed by the Club Committee. Decisions are based on need, available funds, and fairness across applicants.

Application Process
How to apply

Complete the Club’s concession application form (available from the Club website).

Provide basic supporting information (e.g., brief statement of need, evidence of benefits or income if available). The Club will accept reasonable alternative evidence where formal documents are not available.
Timescales
The Club aims to process applications within 14 days of receipt. Emergency or short‑notice requests will be prioritised where possible.
Appeals
Applicants may request a review of a decision by writing to the Secretary within 14 days of notification. The Club will convene an independent review by at least two Committee members not involved in the original decision.
Transparency and Review

Publication
The Club will publish current fee levels and a summary of concession types and how to apply on its website and in membership materials.
Record keeping
The Club will keep records of concession decisions and anonymised statistics to monitor fairness and demand. Financial information provided by applicants will be treated as confidential.
Policy review
This policy will be reviewed by the Club Committee at least every 24 months or sooner if required by changes in demand or funding.
Data Protection and Confidentiality
Confidential handling
All personal and financial information supplied in support of a concession application will be handled confidentially and stored securely in accordance with data protection law. Information will only be shared with Committee members involved in the decision and with external bodies where the applicant has given consent or where required by law.
